Remember the Milk + Gmail = Task Management Nirvana

You would have already came across Remember the Milk, an online task management software. Guess what ever since I have started using Remember the Milk…. in one word its “priceless”.

I’m pretty sure you are loving this, Remember the Milk directly integrates into Gmail, so you can manage your tasks right besides your emails. It full integrates with your contacts , and calendar contacts, and Google Calendar events).

Once installed, you’ll see a new pane over to the right also know as the Tasks pane, which lets you customize to show tasks, sort tasks or to group the tasks.

To add tasks all you need to do is type anything into the box and press Enter. But thats just the biginging you can customize it to mention times, dates, etc. You can Complete, Postpone, or edit the task details by just hovering over a task.

When you say about integration, guys at Remember the Milk takes it to the next level. For example you have an email that requires a follow up, or contains a task that you need to remember…. you can either star this message, or just label it with “To Do”. RTM can automatically create a task when you star a message, or label a message with a specific label. Neat..nah!

You’ll see an option for Starring and Labeling. You can also create a task from an email by clicking on Create Task from the More Actions menu.

When you’re ready to reply or follow up on the email, hover over the task details. and you’ll see an icon linking to the original email — click on it to reply. Once you’ve sent the email, the task will be automatically completed. Thats way cool!

Besides the email thing Remember the Milk communicates directly with Google Calendar and figures out reminders, tasks, and events etc. When you add a task, make sure it’s something like this:

Organize flowers 2 days before Mother’s Day

Call Jimmy on Thanksgiving

Write up minutes after team meeting

Send thank you notes 1 month after my wedding

Integration with Google Calender is a way cool feature. But what about the need to remember to call or email someone?

When you add tasks that start with special action keywords, followed by a person’s name, RTM will automatically link up the task with the Gmail contact who it’s associated with.

Also you can quickly look up all tasks linked with a contact by going to the Contacts section in Gmail and clicking on a name.
